Role Overview

To provide an efficient and proactive administrative and secretarial support service to the planning and rural teams

Team Overview

Busy and friendly teams with a considerable variety of work, working with town planners and rural surveyors acting for private, corporate and institutional clients, covering a wide geographic area.

Key Responsibilities of the Role

The successful candidate will need to show an ability to work efficiently under pressure, possess excellent attention to detail, be well organised and pro-active. A flexible and supportive attitude will be needed.

  •   Preparing invoices and accounts for the team
  •   Maintain accurate and up to date diaries and proactively book required rooms, car parking spaces andlunches as required
  •   Arrange meetings
  •   Manage incoming emails as required
  •   Produce accurate documentation to deadlines
  •   Production of items via Microsoft Word, Excel, PowerPoint, Outlook
  •   Proof read and format documentation
  •   Answer telephone in a professional manner and redirect or take messages efficiently and accurately
  •   Maintain accurate and up to date filing
  •   Ability to produce mail merges
  •   Compilation and maintaining databases
  •   Provide maps as required using Pro-Map
  •   Carry out Land Registry searches
  •   Liaison with other Savills offices
  •   Open new job files and maintain accurate documentation on file throughout the job including archivingas appropriate
  •   Audio typing of letters, reports and minutes
  •   Distributing post to appropriate team members
  •   Maintenance of in-house databasesIn addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time.

  •   Good organisational and prioritising ability
  •   To be confidential in required situations
  •   Good communication skills, both verbal and written
  •   Confident in liaising at a senior level both internally and externally
  •   Ability to work flexibly
