Business Space Team Administrator/Secretary, Savills

Full Time, Flexi Time

Role Overview

To provide an efficient and proactive administrative support service to the Commercial Agency & Professional team.

This is a full-time office based position, Monday to Friday inclusive from 9am to 5.30pm or 8.30am – 5pm with one hour for lunch. An ability to be flexible on hours of work may be necessary. You will be reporting to the Property Assistant.

Team Overview

Busy and friendly team comprising 9 staff members. We cover Cambridge and the wider area working with a range of different clients, including; Cambridge Universities, funds and private individuals.

Key Responsibilities of the Role

The successful candidate will need to show an ability to work efficiently under pressure, possess excellent attention to detail, be well organised and pro-active. A flexible and supportive attitude will be needed.

  •   Maintain accurate and up-to-date diaries and proactively book required rooms, car parking spaces and lunches as required.
  •   Arrange meetings.
  •   Manage incoming emails as required.
  •   Produce accurate documentation to deadlines.
  •   Production of items via Microsoft Word, Excel, PowerPoint, Outlook.
  •   Proof read documentation.
  •   Formatting of reports.
  •   Handle invoicing and accounts for the team.
  •   Answer telephone in a professional manner and redirect or take messages efficiently and accurately.
  •   Maintain accurate and up-to-date filing.
  •   Ability to produce mail merges.
  •   Compliance
  •   Compilation and maintenances of databases.
  •   Provide maps as required using Pro-Map.
  •   Carry out Land Registry searches.
  •   Liaison with other Savills offices.
  •   Open new job files and maintain accurate documentation on file throughout the job including archiving

    as appropriate.

  •   Assist Property Assistant when required.

    In addition to the tasks described above, the job holder may be required to carry out other duties as may reasonably be required from time to time. Training will be provided.

Qualifications & Technical Abilities:

  •   Administrative qualification and/or proven experience preferred
  •   Proven immediate/advanced IT skills – Microsoft Office Packages – Outlook, Word, PowerPoint, Excel


  •   Good typing speed – copy and audio
